Position: Executive Assistant (FT Contract)


Position Description:

The Executive Assistant is responsible for scheduling meetings, booking travel arrangements, managing the content and flow of information to the Advance North Carolina (ANC) Executive Director and Policy Director/North Carolina Black Alliance (NCBA) Deputy Director and Program Director, and serves as the point of contact for the ANC Executive Director and Policy Director / NCBA Deputy Director and Program Director. This position will work closely with the Executive Director and Policy Director of Advance North Carolina, as well as the rest of the leadership team of both organizations when needed. 

Key Responsibilities:

Extensive Calendar Management 

  • Coordinate complex scheduling for the ANC/NCBA Executive Director/ Deputy Director and Policy Director/ Program Director 
  • Attend relevant meetings and provide meeting notes as required 
  • Booking travel arrangements and speaking engagements for the ANC/ NCBA Executive Director/ Deputy Director and Policy Director/ Program Director 
  • Participate in weekly check-in meetings to help identify time-sensitive matters that require leadership input 
  • Present solutions when time constraints arise to conserve the executive’s time and preserve a cohesive schedule 

Information Management 

  • Maintain records, notes, and other important documents that may aid the director in their engagement internally in ANC and NCBA as well as externally within coalitions, or in partnerships with other organizations, etc. (ANC i.e., Black Catalyst Fund, NC Black and Brown Policy Network (NCBBPN), Every Child NC, Life Without Parole (LWOP), Ftv, etc.) and (NCBA i.e., BCC Long March, EDF x NCBA partnership,  UCC Southern Conference x NCBA partnership, Black Legal Network (BLN), Vote Riders, etc.)
  • Serve as the main point of contact for the director to communicate updates with meetings,  speaking engagements, conferences, travel arrangements, etc. 
  • Retain an updated copy of the director’s biography and headshot 
  • Communicate with others externally from the organization to ensure the organization has completed the partnership request (i.e. registration, meetings,  preparation for panel participation, etc.) 
  • Respond to media inquiries in a timely manner and ensure the director is prepared prior to the interview with talking points and the purpose of the interview 

Event Support 

  • Pass out flyers and handouts at events and assist with registration 
  • Aid the director in tasks that can be assigned at the event/ venue (may include, but not limited to set up and break down)
  • Notify the director of any issues they may not be aware of at the event (registration,  attendee concerns that require more complex resolutions, defective materials, etc.)

Additional Responsibilities/ Skills 

  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business 
  • Project manage relevant initiatives in Basecamp
  • Be responsive to emails/texts/phone calls, with outside contact outside normal business hours as needed
  • Increase productivity by developing methods to ensure the directors can communicate effectively internally within the organization as well as externally with outside entities and partners
  • Utilize interpersonal skills when interacting with personnel within the organization as well as externally 
  • Utilize Google Suite and Microsoft Office to produce, edit, and distribute documents 
  • Create helpful methods to collect information (surveys, polls, etc.) 
  • Produce cohesive structure with scheduling and administrative tasks to allow the director to dedicate the bulk of their time to more complex matters 
  • Prepare to dedicate more time for busier seasons (i.e. legislative sessions,  assisting directors with their roles in partnerships/coalitions, All Hands on Deck, etc.)

Education & Qualifications:

  • Associate degree preferred or Experience as an Executive Assistant in a professional setting 
  • Advanced proficiency in Google Workspace, Microsoft Office, and other technical skills necessary to perform duties
  • Solid project management skills are required
  • A proactive approach to problem-solving with strong decision-making skills.
  • Exceptional oral and written communication skills are required
  • Strong organizational and interpersonal skills are required
  • A degree or experience in political science is preferred.
  • Must reside in the RDU area

Expectations & Compensation:

  • This is a full-time contract position with compensation commensurate with experience. 
  • 40 – 45 hours per week 
  • Salary Range: $40,000 to $45,000
